1. Overview
This Privacy Policy explains how Levelstair Community, in collaboration with the Rotaract Club of UCSC and the CSSL GenZ Chapter of UCSC (collectively, "the Organizing Committee"), collects, uses, and handles personal information in connection with Level Up 2026, held on May 23–24, 2026 at Dialog Auditorium, Colombo. By registering for or attending Level Up 2026, you acknowledge and agree to the practices described in this policy.
2. Information We Collect
We collect personal information you provide directly during registration, including your name, contact number, email address, institution or organization, and any other details required by our ticketing partner's registration form. For sub-events such as EXE Extended and the Anime Photography Contest, we collect submission-related information at the point of entry. For student and university free-entry applicants, we may verify your Student Record Book, uniform, or university-issued ID at the venue; we do not retain copies of these documents.
We may also collect information indirectly, such as photographs or video footage captured during the event for documentation and promotional purposes.
3. How We Use Your Information
We use the information collected to process your registration and confirm your participation, communicate event updates, schedules, and important notices through official channels (including WhatsApp and email), add you to designated WhatsApp groups and, for esports participants, provide access to our Discord server, manage sub-event submissions and competition logistics, and produce promotional and archival content related to Level Up 2026 and Levelstair's activities.
4. WhatsApp and Discord
As part of the registration process, participants will be added to designated WhatsApp groups and, where applicable, provided with a Discord server invite. By registering, you consent to this. Your phone number will be visible to other members of those groups in accordance with WhatsApp's own platform policies. Levelstair does not control WhatsApp's or Discord's data practices and encourages you to review their respective privacy policies.
5. Photography and Video
The Organizing Committee will photograph and film the event for documentation and promotional purposes. By attending Level Up 2026, you acknowledge that you may appear in such content and consent to its use in materials related to the event and Levelstair's broader activities. If you have a specific concern about your appearance in event media, please contact us at team@levelstair.com.
6. Sharing of Information
We do not sell, rent, or trade your personal information to third parties. We may share your information with our ticketing partner solely for the purpose of processing your registration, and with co-organizers (Rotaract Club of UCSC and CSSL GenZ Chapter of UCSC) to the extent necessary to coordinate the event. We may also disclose information if required to do so by law or by a directive from a relevant authority.
7. Data Retention
We retain personal information collected in connection with Level Up 2026 for a reasonable period following the event for administrative, archival, and promotional purposes. Information that is no longer necessary will be deleted or anonymized.
8. Your Rights
You have the right to request access to the personal information we hold about you, request corrections to inaccurate information, or request deletion of your data where it is no longer necessary for the purposes described in this policy. 9. Third-Party Platforms
Level Up 2026 makes use of third-party platforms including our ticketing partner, WhatsApp, and Discord. Each of these platforms operates under its own terms and privacy policies, which are independent of this policy. Levelstair is not responsible for the data practices of these platforms.

Levelstair reserves the right to update this Privacy Policy at any time. Any material changes will be communicated through official event channels. Continued participation in the event following such changes constitutes your acceptance of the revised policy.
