By registering for or participating in our events, you acknowledge and agree to the practices described in this policy.

We collect personal information you provide directly during registration, including your name, contact number, email address, institution or organization, and any other details required by our ticketing or platform registration forms. For sub-events and competitions such as the EXE Extended Game Jam, we collect submission-related information (including itch.io URLs, screenshots, code repositories, and team details) at the point of entry.

We may also collect information indirectly, such as photographs, video recordings, or screenshots captured during our digital or physical event sessions for documentation, live stream broadcasts, and promotional purposes.

3. How We Use Your Information

We use the collected information to process event registrations and confirm participation, communicate event schedules, updates, and rules through official channels (such as email, WhatsApp, and Discord), coordinate competition submissions, manage panel evaluations, and create promotional or archival materials highlighting the activities of Levelstair Events.

4. Third-Party Platforms & Communities

As part of our events ecosystem, we utilize platform communication tools such as WhatsApp Communities, Discord servers, and Facebook groups. By participating, you acknowledge that your profile details (e.g., telephone number on WhatsApp, or handle on Discord) may be visible to other community members in accordance with the native features of those platforms. Levelstair does not control third-party data processing and encourages you to review their respective privacy policies.

5. Sharing of Information

We do not sell, rent, or trade your personal information to third parties. We share your information with our ticketing and platform partners solely for registration and entry verification, and with co-organizers or university sponsors to the extent necessary to coordinate collaborative events. We may also disclose information if required to do so by law.

6. Data Retention & Rights

We retain personal information for a reasonable period following an event to facilitate administrative follow-ups, certificates distribution, and community archiving. You have the right to request access to the personal information we hold, request corrections to inaccurate records, or request complete deletion of your data when it is no longer required.
