1. Overview

These Terms and Conditions govern your participation in Level Up 2026, a two-day event organized by Levelstair Community in collaboration with the Rotaract Club of UCSC and the CSSL GenZ Chapter of UCSC, held on May 23–24, 2026 at Dialog Auditorium, Union Place, Colombo. The event comprises the Night Serpent Esports Tournament (NSET) on Day 1 and the Lanka Game Developers Conference (LKGDC) on Day 2, including the EXE Extended competition and the Anime Photography Contest. By registering or attending, you agree to these terms in full.

2. Eligibility

Participation is open to all individuals unless otherwise specified for a particular sub-event. Students and university attendees may access the Stall Area on both days at no charge upon presentation of a valid Student Record Book, school uniform, or a university-issued ID card. Organizers reserve the right to verify credentials at entry.

3. Registration

All attendees must complete registration through the official ticketing platform linked at event.levelstair.com. Registration is considered confirmed only upon receipt of a confirmation from the organizers via our ticketing partner. Levelstair reserves the right to reject or revoke registrations at its discretion, including in cases of misconduct or misrepresentation.

Registrations for EXE Extended and the Anime Photography Contest are processed at the point of submission, as outlined on their respective pages.

Upon successful registration, participants will be added to designated WhatsApp groups for event communications. Esports applicants will additionally receive an invite link to our Discord server. By registering, you agree to accept these invitations and join the respective groups as a condition of participation. Important event updates, schedules, and match communications will be distributed through these channels.

4. Tickets, Payments, and Refund Policy

All ticket purchases and paid registrations are final. Payments are non-refundable under any circumstances once a transaction is completed. Please ensure all details are correct and that you are certain of your participation before proceeding with payment. Levelstair is not responsible for transactions made without due care or attention by the purchaser.

Tickets are non-transferable unless explicitly permitted by the organizers in writing. Levelstair is not responsible for lost, stolen, or duplicated tickets or registration confirmations.

5. Event Changes and Cancellation

Levelstair reserves the right to modify the event schedule, speakers, game titles, or format without prior notice. In the event of cancellation or significant disruption due to circumstances beyond our control — including but not limited to natural disasters, government directives, or venue unavailability — Levelstair will communicate via official channels. Any decisions made by the venue provider (Dialog Axiata) under such circumstances are final and outside the authority of the organizing committee.

6. Code of Conduct

All attendees, participants, and guests are expected to abide by the Level Up 2026 Code of Conduct, available at event.levelstair.com/code-of-conduct. This applies across both days and all sub-events. Violations may result in immediate removal from the event without refund.

7. Tournament Rules (NSET)

Participants in the Night Serpent Esports Tournament must comply with the specific game rules published on the NSET page at event.levelstair.com/nset. Match decisions made by tournament referees and Levelstair staff are final and binding. Cheating, exploitation of bugs, or unsportsmanlike conduct will result in immediate disqualification.

8. Competition Rules (EXE Extended)

Entries submitted to EXE Extended must be the original work of the submitting team or individual. Participants retain full intellectual property rights over their submitted work. By entering, participants grant Levelstair a non-exclusive, royalty-free licence to display and showcase submitted works in materials related to Level Up 2026 and Levelstair's archival and promotional activities. No commercial use of submitted works will be made by Levelstair without the participant's explicit written consent.

9. Photography, Video, and Media

Participants and attendees are welcome to photograph and record video within the event venue floor for personal, non-commercial purposes. The organizing committee bears no responsibility for photography or video recording conducted outside the designated event floor or in areas beyond the scope of the event. Any action taken by the venue provider regarding such conduct is final.

By attending Level Up 2026, you acknowledge that Levelstair and its co-organizers may photograph or film the event for documentation and promotional purposes, and that you may appear in such media as a result of attending.

10. Intellectual Property

All event branding, content, and materials produced by Levelstair in connection with Level Up 2026 are the intellectual property of Levelstair. Unauthorized reproduction or commercial use is prohibited.

11. Liability

Levelstair, the Rotaract Club of UCSC, the CSSL GenZ Chapter of UCSC, and event sponsors are not liable for any personal injury, loss, or damage to property sustained during the event. Attendees participate at their own risk.

12. Sponsors and Partners

Sponsor branding and materials may be displayed throughout the venue. Levelstair does not endorse any sponsor's products or services beyond their association with the event.

13. Governing Law

These Terms and Conditions are governed by the laws of Sri Lanka. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of Sri Lanka.
